Connect GoHighLevel

Synchronize approved conversation events with a scoped GoHighLevel workflow while preserving clear system ownership, contact identity, channel delivery and loop prevention.

Quick answer

Design the event flow before configuring either system

Decide which system owns each record and action, define the eligible event, map the required fields and establish a loop-prevention rule. Then configure the scoped webhook or API actions, test each direction separately and enable the round trip only after eligible, ineligible, duplicate, retry and temporary-failure cases behave as expected.

Integration scope

Treat this as a configured workflow—not universal synchronization

ConvoRev can be synchronized with an approved GoHighLevel workflow using scoped webhooks and API actions. This is a configured integration, not a claim that every GoHighLevel object, trigger, workflow action or customization is supported.

Defined integrationWhat it can establishWhat it does not imply
Eligible events

Specific messages or records can enter the approved flow when stated conditions are true.

Every event in the GoHighLevel location is forwarded.

Mapped values

Named fields can move between defined source and destination properties.

All standard and custom fields map automatically.

Return action

A resulting response or approved update can be delivered through a defined workflow.

Every ConvoRev action writes back to GoHighLevel.

Supported design

The approved location, channel, authentication and failure behavior are tested together.

Untested account customizations are covered by the same configuration.

Confirm the exact deployment scope before promising an outcome. A working integration is the tested event path—not the presence of a webhook URL or API credential alone.
System ownership

Define which system owns every important record and action

Before implementation, document which system owns contacts, messages, appointments, pipeline stages and reporting. A common design keeps GoHighLevel as the operational record while ConvoRev processes defined conversation events. The approved design for your account may differ.

DomainOwnership decisionConflict to prevent
Contacts

Choose the authoritative contact identity, matching rule and update owner.

Duplicate records or competing updates to the same field.

Messages

Define the original channel, conversation owner and reply delivery path.

Two automations answering the same customer message.

Appointments

Choose the booking system, calendar and source of availability truth.

Double-booking or mismatched appointment status.

Pipeline stages

Define which events can move an opportunity and which system records the state.

Stage changes bouncing between two workflows.

Reporting

Choose the source for volume, response, booking and outcome metrics.

Different systems reporting incompatible totals or definitions.

One action needs one owner. Each event should have a clear source, processor, destination and loop-prevention rule.
Typical message flow

Move only eligible events through the approved round trip

A scoped workflow can forward an eligible customer message from GoHighLevel to ConvoRev. ConvoRev applies the assigned conversation logic, then a return workflow can deliver the resulting response through the original supported channel.

Never create two independent responders for one message. If both systems can trigger a reply from the same event, disable one path or add an explicit exclusion before testing.
Implementation requirements

Document the location, permissions and failure behavior

ConvoRev will work with an authorized administrator to confirm the GoHighLevel location, workflow permissions, event payload, authentication method, field mapping and failure handling.

Location

Approved sub-account

Identify the exact GoHighLevel location and ConvoRev account participating in the flow.

Do not configure a similarly named location
Permissions

Least required access

Grant only the workflow, webhook and API scopes needed by the approved actions.

Review before production use
Payload

Documented event contract

Specify required values, formats, optional fields and the version of the expected event.

Handle missing values explicitly
Authentication

Approved secure method

Use the supported authorization or token approach and define safe rotation ownership.

Never expose a secret in content
Mapping

Source-to-destination fields

Document each field, direction, format, owner and overwrite rule.

Test custom values and casing
Failure

Retry and escalation behavior

Define timeouts, duplicate handling, retries, logging and the human response to a failed event.

A silent failure is not acceptable
Use the narrowest integration that satisfies the workflow. Additional objects, fields and permissions increase failure paths and maintenance without improving the approved customer outcome.
Contact identity

Choose one matching rule before sending records

Define how the workflow identifies the same person in both systems. Prefer stable system identifiers when available, then specify how normalized phone numbers, email addresses or other approved values are used when an identifier is missing.

Identity inputDefinePrevent
System identifier

Where the GoHighLevel and ConvoRev record IDs are stored and reused.

Creating a new contact on every event.

Phone number

Required country code, normalization and channel relevance.

Several formats representing the same person or wrong number.

Email address

Case, whitespace and whether shared addresses are allowed for matching.

Merging different people who share a business inbox.

Duplicate policy

When to update, create, hold or route a record for review.

Silent merges or overwrites based on weak evidence.

Do not infer identity from one unreliable field. If the workflow cannot match the contact with the approved confidence, stop the round trip and route the record for review.
Field mapping

Map meaning and update ownership—not just field names

Values used for routing must match the expected format and case. For every mapped field, document the source, destination, direction, allowed values, fallback and system that can overwrite it.

Mapping ruleConfirmFailure example
Name and key

The readable label and technical property refer to the same business concept.

A similar name writes to the wrong custom field.

Format and case

Text, dates, numbers, booleans and choice values use the exact accepted representation.

A routing value fails because capitalization or date format differs.

Direction

The value moves one way or both ways under a defined conflict rule.

Two systems repeatedly overwrite one another.

Missing value

The workflow rejects, defaults or routes the event for review as approved.

An empty property becomes an unsafe or misleading update.

Audit context

The event records which mapping version produced the update.

A failed record cannot be traced after a field definition changes.

Keep structured facts in defined fields. Do not place raw payloads, credentials or large message histories into general contact notes.
Eligibility filters

Make entry and exclusion conditions explicit

Filters may limit the flow by channel, tag, location, contact or another approved condition. Test both the intended eligible event and the closest event that should be ignored.

Eligible

All required conditions are true

The correct location, supported channel, contact state and routing values produce one approved integration event.

Ineligible

Any exclusion condition applies

The workflow records or ignores the event as designed without sending it to ConvoRev or starting a response.

Channel filter

Only messages from the approved supported channels enter the event flow.

Location filter

The event belongs to the exact GoHighLevel location configured for the ConvoRev account.

Contact or tag filter

The approved contact state and exact tag value meet the written eligibility rule.

Loop exclusion

Events created by the return path are marked or recognized so they cannot re-enter as new work.

Test exact values and casing. A filter that appears correct in the workflow editor can still fail when the live payload uses a different representation.
Authentication and secrets

Exchange credentials only through an approved secure method

Credentials, private integration tokens, webhook secrets and other authentication values must never be placed in help content, AI Agent knowledge, email, notes or shared screenshots.

✓

Scoped access

Authorize only the location, objects and actions required by the approved workflow.

✓

Verified requests

Use the supported request-authentication method and validate webhook authenticity when the design requires it.

✓

Named owners

Assign people responsible for authorization, rotation, incident response and revocation.

✓

Protected evidence

Sanitize logs and examples before sharing them outside the authorized implementation team.

Do not rotate or replace a credential independently. Coordinate the change in both systems and verify the complete event path before retiring the earlier value.
Testing requirements

Test each direction separately before enabling the round trip

Use synthetic contacts and messages that contain no live customer data. Preserve safe identifiers and event times so every result can be traced.

  1. Send an eligible GoHighLevel event.Confirm it reaches the intended ConvoRev contact and conversation exactly once.
  2. Send an ineligible event.Confirm the workflow ignores or records it without starting the ConvoRev path.
  3. Return a synthetic response.Verify the original supported channel and correct contact receive the expected result.
  4. Remove required fields.Confirm the workflow follows the documented missing-value behavior rather than guessing.
  5. Test duplicate events.Repeat the same event and confirm duplicate detection prevents a second contact, action or response.
  6. Simulate a retry and temporary failure.Verify timeouts, retry limits, recovery and human escalation.
  7. Test loop prevention.Confirm the return event cannot re-enter the original workflow as a new customer message.
  8. Confirm the audit information.Use the event time and safe record identifiers to explain every step and failure.
Do not enable both directions at once during initial testing. Prove the inbound path, prove the return path and only then test the controlled round trip.
Launch and monitoring

Start with a narrow cohort and watch the full event path

Enable the integration for the smallest practical approved audience. Monitor event volume, eligibility, duplicates, response delivery, retry activity and human escalations before expanding the scope.

Eligibility

Only the intended events enter the workflow.

Unexpected locations, channels, contacts or tags appear.

Identity

Each event resolves to the correct existing or approved new contact.

Duplicate contacts, mismatched records or ambiguous identity.

Delivery

One response returns through the original supported channel.

Missing, delayed, duplicate or wrong-channel responses.

Recovery

Temporary failures retry within the defined limit and remain traceable.

Silent drops, repeated retries or unresolved queue growth.

Change control

Retest after any material change on either side

Field, workflow, tag, channel, permission or authentication changes can break a working synchronization. Assign owners in both systems and maintain an approved record of the current mapping and event contract.

ChangePossible effectRequired check
Field or tag

Routing, mapping or eligibility may no longer match the payload.

Retest exact values, casing, missing fields and historical records.

Workflow

An event may fire twice, stop firing or reach a different destination.

Test eligible, ineligible, duplicate, retry and loop cases.

Channel

The original delivery path or sender identity may change.

Send a real synthetic channel message through the complete round trip.

Permission

A previously available action or object can become inaccessible.

Review scopes, location access and failure reporting.

Credential

Events can fail until both systems use the current value.

Coordinate the update and verify before retiring the old credential.

Preserve the last known working configuration. Record the change, owner, time, test evidence and rollback decision before expanding traffic again.
Troubleshooting

Trace the event from source to destination

Eligible event does not arrive

Inspect the trigger, filter and payload

Confirm the correct location, workflow state, exact filter values, destination and required fields.

Wrong contact is updated

Stop the workflow and check identity mapping

Review stored identifiers, phone normalization, email matching and duplicate policy before another event.

Response reaches the wrong channel

Verify the original-channel reference

Trace the channel and conversation identifiers through the event and return mapping.

Customer receives duplicate replies

Check idempotency and competing automations

Inspect duplicate event handling, retry behavior and every workflow that can answer the same message.

Events keep repeating

Disable the round trip and repair loop prevention

Confirm the return event carries or matches the exclusion used by the source workflow.

Integration stopped after a change

Compare with the last working contract

Review field, workflow, tag, channel, permission and credential changes in both systems.

Share safe evidence. Do not include secrets. Preserve the workflow name, event time, safe record identifiers, expected result, observed result and sanitized error details.
Common questions

GoHighLevel integration questions

Is this a one-click GoHighLevel integration?

No. It is an approved configured workflow using scoped webhooks and API actions. The supported event, mapping, permissions, delivery path and failure behavior must be defined and tested for the account.

Can every GoHighLevel object and trigger be synchronized?

No. Support applies to the documented and tested deployment scope, not every object, trigger, workflow action or customization available in GoHighLevel.

Which system should own the contact record?

Choose one authoritative design before implementation. A common model keeps GoHighLevel as the operational record while ConvoRev processes defined conversation events, but the approved design may differ.

How do we prevent two automated replies?

Give each message one response owner, exclude return events from the source workflow, implement duplicate handling and test retries and loop prevention before enabling the round trip.

Can I email the webhook secret to support?

No. Credentials and webhook secrets must use an approved secure exchange method. Do not place them in email, help content, Agent knowledge, notes or screenshots.

What should I provide when an event fails?

Send the workflow name, approximate event time, safe record identifiers, expected result, observed result and sanitized error. Do not include credentials, tokens, secrets or private customer data.

Need integration help?

Send the workflow name and safe event evidence

Include the ConvoRev account, GoHighLevel location, workflow name, approximate event time, safe record identifiers, expected result, observed result and completed checks. Do not include credentials, tokens, secrets or unnecessary private customer information.
