Convert

Guide an appropriate conversation toward one clear, approved and verifiable next action—then confirm that the booking, handoff or information request actually completed.

Quick answer

Define the next action before designing the conversation

Conversion in ConvoRev means guiding an appropriate conversation toward the next approved action. It may be a booking, qualified handoff, completed information request or another deployment-defined step. Message activity alone is not proof that the action completed.

Outcome definition

What counts as a conversion

A conversion is the deployment’s approved next action—not a universal event and not every conversation. Define the action precisely enough that a reviewer can confirm whether it happened.

01

Available booking

An eligible customer selects and confirms a valid appointment with the required details.

Evidence: booking record
02

Qualified handoff

The right person or system receives the opportunity with the context needed for follow-up.

Evidence: accepted handoff
03

Information request

The required approved information is collected and stored in the intended destination.

Evidence: complete record
04

Defined next step

Another deployment-specific action completes according to its approved rules and boundaries.

Evidence: verified result
Make the result observable. “Interested,” “engaged” or “responded” may be useful signals, but they are not the same as a completed booking, accepted handoff or complete information request.
Conversation design

Build one clear path to the next action

The conversation should identify the customer’s need, confirm the relevant conditions, collect only the required information and offer the approved action or fallback.

01Understand

Identify the request and intended customer outcome.

02Confirm

Check relevant fit, eligibility, service or routing conditions.

03Collect

Capture the minimum information needed for the next action.

04Offer

Present an available, permitted and appropriate next step.

05Verify

Confirm the record, destination, owner and customer expectation.

Primary path

One intended action

Give the agent a clear default outcome for conversations that meet the approved conditions.

Fallback path

One safe alternative

When the action is unavailable or inappropriate, use an approved information request or human handoff.

Stop condition

Know when not to advance

Escalate ambiguity, exceptions, sensitive issues and high-risk requests instead of forcing a conversion.

Booking outcome

Prepare a reliable appointment path

Appointment conversion requires more than asking for a preferred time. The event definition, availability source, required questions, confirmation process and calendar ownership must work together.

Do not invent availability. If the configured event type or connected availability cannot confirm a valid time, use the approved fallback or human handoff instead of implying that a reservation exists.
Non-booking outcomes

Design qualified handoffs and information requests

When the next action belongs to a person or another system, the handoff should arrive with enough context to continue—not just a name and a vague note that someone is interested.

Handoff packageConversation context that supports the next action

Collect only the fields approved for the workflow and preserve the reason for escalation.

Supporting guideUse Contact Fields and Notes

Store approved contact facts and human context in the right place for the next owner.

Quality guardrails

Protect the customer and the next action

Conversion pressure should never override approved knowledge, eligibility rules, real availability or the need for human judgment.

GuardrailExpected behaviorFallback
Availability

Offer only times, resources or next steps confirmed by the approved workflow.

Explain briefly and offer a valid alternative or handoff.

Qualification

Use only approved conditions and customer-provided information.

Escalate when fit or eligibility cannot be confirmed.

Claims

Keep pricing, policies, offers and expectations traceable to current sources.

Do not guess; state the limit and route for confirmation.

Customer choice

Respect a request to stop, pause, change direction or speak with a person.

End the automated path and follow the approved operating process.

Completion

Confirm the action exists in the intended destination before describing it as complete.

Acknowledge uncertainty and escalate the failed action.

Measurement

Measure completed next actions and handoff quality

Results depend on traffic quality, the offer, follow-up, availability and human operations as well as the conversation flow. Review the full chain instead of attributing every outcome to one message.

Operating signalReplies and engagement

Shows that a conversation occurred.

Progress signalQualified opportunity

Shows that the approved conditions were met.

Conversion signalCompleted next action

Shows that the booking, request or handoff happened.

Quality signalAccepted and useful

Shows that the result reached the right owner with usable context.

Traffic

Are appropriate people beginning conversations?

Offer

Is the proposed next action useful and relevant?

Availability

Can the business fulfil the action when requested?

Follow-up

Does the next owner act on the result appropriately?

Operations

Do connected systems and human processes complete the journey?

Release gate

Test the complete conversion path

Do not approve a conversion workflow by reading the agent’s reply alone. Verify the resulting booking, record, notification, assignment or handoff in its intended destination.

  • The primary next action and its qualifying conditions are documented.
  • The fallback for unavailable, ineligible or ambiguous cases is approved.
  • Required questions collect the minimum necessary information.
  • Current pricing, policies, availability and eligibility rules are traceable.
  • A normal conversion completes in the intended destination.
  • An unavailable or invalid action does not appear confirmed.
  • The human owner receives a useful summary and recommended next step.
  • Cancellation, failure and escalation scenarios have been tested.

Conversion approval gate

Release only after the intended action, fallback, destination record and human ownership all behave as expected in controlled tests.

Common questions

Conversion planning

Does every conversation need to convert?

No. The next action should be appropriate for the customer’s request and the approved conditions. Some conversations should receive an answer, stop, or move to human review without a booking or other conversion.

Is an AI reply counted as a conversion?

Not by itself. A reply is an operating signal. Confirm the deployment-defined next action in its destination and review whether the handoff or record is complete and useful.

What if the requested appointment is unavailable?

Offer only valid alternatives returned by the approved availability process. When availability cannot be confirmed, use the approved fallback or handoff rather than implying a reservation exists.

How much information should the agent collect?

Collect the minimum information required to complete, qualify or route the next action. Avoid unnecessary private information and ensure every required field has a clear operational purpose.

Why can conversion results change even when the agent is working?

Traffic quality, the offer, availability, follow-up and human operations influence the result. Review those factors alongside the conversation path before deciding what needs to change.

Describe the intended next action

Include the account, AI Agent, desired outcome, qualifying conditions, required information, destination, fallback, human owner and one controlled test result. Do not send credentials or unnecessary private customer information.
