Download Your Data
Define the purpose and scope of an account export, verify the resulting snapshot and protect every copy throughout its useful life.
Request only the data the approved task requires
Authorized account owners can request an export of available account data for review, backup, migration or an approved privacy process. Confirm the purpose, categories, recipient, storage location and retention rule before requesting it. Treat the result as a sensitive point-in-time snapshot.
Define the export before creating another copy of the data
Exports can contain personal information, conversation content and business records. A clear request reduces unnecessary exposure and makes the finished file easier to verify.
Purpose
State whether the file supports an internal review, controlled backup, migration, privacy process or another approved task.
Minimum scope
Choose only the categories and date context required. Do not create a broader file because it may be convenient later.
Authorized recipient
Confirm who may request, receive, inspect and use the export. Account access alone may not establish business approval.
Storage and retention
Choose an access-controlled destination and decide when original, working and transferred copies should be removed.

Export contents depend on the account and selected options
The categories shown can vary with the features used, available records and export options. Select what the task needs and verify the actual contents after preparation.
Available contact details, fields, tags or related identifiers.
Limit personal information to the approved purpose and recipient.
Conversation records, messages, timestamps, channel context or identifiers.
Message content may include information supplied by customers.
Available booking records, status, timing and related contact references.
Confirm timezone and whether later calendar changes fall outside the snapshot.
Available operational records, stages, ownership or linked record identifiers.
Definitions may not match the destination system without mapping.
Available knowledge items or maintained business information.
Exclude expired, confidential or unnecessary material from downstream use.
Available account or workspace configuration information.
Technical settings may require separate interpretation and validation.
Use the secure account area and preserve the request details
Open the account's available data-export area, select the categories needed for the approved request and submit it. Exact labels and options can vary with the account. Preparation may continue in the background when the request is large.
- Confirm the active account.Verify the workspace name and requester before choosing any data.
- Select the approved categories.Use the request record rather than memory or a previous export's scope.
- Submit once.Avoid repeated requests unless the first attempt clearly failed or the required scope changed.
- Record the request time.Keep the approximate submission time, requester, purpose and selected categories.
- Wait for the expected notice.Use the secure account area or approved account notification when the package is ready.
Preserve the original until the export passes verification
Download the export only from the expected account notification or secure account area. The download may be an archive containing structured files. Keep an unchanged original while verifying the package; perform transformations on a controlled working copy.
- Confirm the source. The package must correspond to the correct account, requester and recorded request time.
- Check the selected categories.Verify that each requested category is represented and that unrequested data is not unexpectedly included.
- Identify the snapshot cutoff.Activity after the request or preparation point may not be present.
- Compare record counts.Use reasonable account or workflow expectations and investigate material gaps before relying on the file.
- Inspect encoding and characters.Open representative records and check dates, line breaks, accents and special characters in the intended tool.
- Trace identifiers and relationships.Confirm how contacts, messages, appointments and other records connect before transforming the data.
- Document exceptions.Record missing, unreadable, duplicated or unexpected content and stop downstream use until material issues are resolved.
Control every copy from download through deletion
Once exported, the file may sit outside the normal access controls of the ConvoRev account. Apply your organization's approved storage, access, transfer and retention rules immediately.
Use access-controlled storage
Move the file from temporary downloads into the approved location and restrict it to the people performing the task.
Use an approved secure method
Do not send the archive through ordinary email, public links or unmanaged file-sharing destinations.
Keep the request context
When policy requires it, record the requester, purpose, scope, recipient, date and approved destination.
Create the fewest copies
Use a controlled working copy and avoid personal devices, duplicate folders and unnecessary derived files.
Follow the applicable rule
Keep the file only as long as the approved task, contract, policy or legal process requires.
Remove temporary copies
Delete downloads, extracted archives, working files and transfer copies when their approved purpose ends.
Match the verification to the intended outcome
Confirm the categories, relevant period and record relationships needed for the review. Restrict the working file to the approved reviewers.
Verify what the export contains and omits. An export is not automatically a complete system restore package or recovery procedure.
Map fields and identifiers to the destination, test with a limited subset, reconcile counts and preserve the original before importing.
Verify the requester, authority, scope, required exclusions, delivery method and retention under your organization's approved legal process.
Diagnose the request before creating another export
Active account, requester, request time, selected categories and the expected notification destination.
Confirm the request exists before submitting a duplicate.
Authorized sign-in, active account, expected secure location and whether the notice corresponds to the current request.
Record the visible error and request time; do not forward the link to another person.
Download completion, file size, approved archive tool and whether the file was altered in transit.
Preserve the failed file, record the error and avoid repeatedly sharing or extracting it.
Selected categories, snapshot cutoff, filters, feature usage and identifier relationships.
Document representative missing records and compare the request scope before relying on the export.
File encoding, delimiter handling, timezone context and import settings in the viewing tool.
Test a controlled copy with corrected import settings; keep the original unchanged.
Purpose, selected categories, recipients and downstream copies.
Restrict access, stop distribution and follow the approved deletion or incident process.
For an export that is missing, incomplete or inaccessible, contact hello@convorev.com with the ConvoRev account, request time, selected categories, expected result, visible error and safe checks completed.
Data export FAQs
Is an export a live copy of my account?
No. It is a point-in-time snapshot. Activity after the request or preparation cutoff may not be included, so record the request time and verify the relevant date context.
Will every account show the same export categories?
No. Available categories and contents depend on the account, features used, available records and options shown. Select and verify the actual categories required for your task.
Can I use the export as a complete backup?
Use it only after confirming what is included, what is omitted and whether the files support your recovery requirements. An export is not automatically a complete restore package.
Why are records split across several files?
Structured exports can separate contacts, messages and other records. Identifiers may connect those records. Confirm the relationships before combining, transforming or importing the data.
Can I email the archive to a teammate?
Do not use ordinary email or a public link for a sensitive export. Use the approved access-controlled storage and transfer method, and share only with authorized people.
What should I send ConvoRev support?
Send the account, request time, selected categories, expected result, observed result, visible error and checks completed. Do not attach the archive unless support provides an approved secure method.
Send the request details—not the data archive
Include the ConvoRev account, requester, approximate request time, selected categories, expected result, observed result and visible error. Do not send passwords, security codes, credentials or the exported archive through ordinary email.
